Procedures for Handbook and Website Updates

This information is provided for our program coordinators and interested faculty/staff. Handbooks in PDF format are the primary communicator for our graduate program information and requirements. This page details our current procedures for updating information in program handbooks and program websites. Last Updated Friday, January 28, 2005

Background:

  1. Each program coordinator is responsible for initiating changes in their program handbooks and program website. The program coordinator is the gatekeeper for all these changes / single point of contact for all faculty/staff in their program.
  2. Handbooks for Prospective Masters and Doctoral students are maintained and assistance for updates is provided by the secretary for Graduate Education (Patsy Mountz.) Handbooks are physically saved on P:/Private/GradEdRes.
  3. Other handbooks (including current handbooks for admitted EPCE students) are maintained and assistance for updates is provided by the respective Department secretary (Kerry Bartel). Handbooks are physically saved on P:/Private/EdPsychLead.

Procedures for Handbook Updates

1 Program Coordinator obtains a current copy of the program handbook and makes updates, either:

  1. In electronic (MS Word) format from the responsible secretary by email attachment-- The PC then directly edits the word file and returns the updated version by email attachment to the responsible secretary.
  2. In paper form from the turnstile (containing copies of all printed handbooks) outside the Graduate Education office. The PC then writes corrections on the stapled handbook copy and returns the updated version to the responsible secretary.

2The responsible secretary makes additional needed changes on the electronic copy of the handbook and notifies the COE webteam that the updated version is available on the server in the respective private folder.

3A COE webteam member:

  1. Converts the MS Word format file into PDF format and overwrites the existing PDF file on the COE main webserver.
  2. Updates the "date modified" entry for that specific handbook on www.educ.ttu.edu/docs/handbooks.htm, or in the case of current student handbooks maintaned by a department secretary, on the program page containing the PDF file link.

 

Procedures for Program Website Updates

1 COE Webteam members will make timely updates when requested to COE program websites. All program website updates must be requested directly by the respective PC. Change requests can be submitted via:

  1. Email (support.educ@ttu.edu)
  2. Corrected paper printout of website pages needing changes (PC should provide these directly to the COE webmaster or faculty support staff in Education 366)

2The following information will be included on each program website at a minimum:

  1. Program Faculty Listing (dynamic, linked to website personnel directory)
  2. Link to PDF prospective student handbooks
  3. Link to Grad Student FAQ list
  4. Link to related Certification information (if applicable)
  5. Current Course Listing (dynamic, linked to website course listing)
  6. Current Distance Course Listing (dynamic, linked to website DE course listing)
  7. Link to Masters Comps info.
  8. Link to Program Coordinator directory listing (with contact info)
  9. Date program website was last updated

3In addition to the above content, the following can be included on program websites: (Duplication of information included in PDF program handbooks is generally avoided except for these items)

  1. Short descriptive paragraphs about the program focus and offered degrees.
  2. Short video clips of faculty and others describing program aspects.
  3. Supplementary information about the program NOT included in the program handbook.
