College of Education iTV Site Approval Coordination

This info is provided for our students and faculty, as well as technical support personnel involved with iTV connections for our classes. These are the coordination steps required for course delivery at an individual iTV site. Some steps are not required to be repeated if multiple iTV sites are requested for the same course.

Note the procedures are different (as are timelines) for faculty wanting to change the delivery modality of an entire, existing degree or certification program to distance-delivered. These procedures are discussed in TTU OP 36.04: "New Academic Programs, Course Approval for New Programs, Program Termination, and Changes in Delivery Format," available as a PDF file .

1 Instructor agrees to offer a course via iTV, with approval from the program coordinator and department chair.

2Application for Distance Learning Course Approval form (TTU OP 36.01 Vol. I Attachment B) is completed, signed by department and college administrators, and forwarded to the TTU Provost's office for remaining signatures.

3Instructor signs and submits a Principles of Good Practice form to the COE Director of Distance Learning. After college signatures are obtained, the PGP form is submitted to the TTU Provost's office for remaining signatures and filing. A copy of the final PGP form is scanned and entered into our COE PGP form database.

4Course is added to our COE online searchable database of DE courses by the Director of Distance Learning.

5Course is added to TechSIS by the offering department's administrative secretary, with required section codes.

6Each student wanting to receive the course at a remote iTV Site completes the iTV Remote Site Delivery request form by published deadlines.

7Each student registers for the course in TechSIS for Students in the appropriate section for their anticipated delivery location.

8 The Director of Distance Learning submits an iTV Class Videoconference request form to TTU Video Services. If a new unofficial iTV site is requested, a new iTV site request form must be submitted to the Office of the TTU Provost for approval. In the event more than five remote sites are requested for an individual course, the course instructor decides which locations to include as remote iTV sites.

9The Director of Distance Learning updates COE website iTV room calendars for requested dates/times.

10The Director of Distance Learning sends an email to requesting students and specified remote-site technical contact staff acknowledging the request has been submitted to TTU Video Services.

11If required, the Director of Distance Learning submits a separate request for course delivery via TETN. Prior to submitting that request, the Director of Distance Learning confirms/verifies the availability of the requested iTV room with the technical contact support staff member identified by the student on the submitted request form (step 6 above.)

12The TTU Videoconference Scheduler contacts specified technical support staff at each requested iTV remote site. If a site is new (has not previously been used for TTU iTV course delivery) the site must be approved by the TTU Office of the Provost. The TTU Videoconference Scheduler communicates with the TTU Director of Distance Learning about the requested endsites and their technical approval for delivery/scheduling for requested connections.

13The TTU Director of Distance Learning contacts students about the final status of their iTV Remote Delivery Requests, and provides building location/access instructions if required.

14 Class begins. If students have a problem with the videoconference connection to TTU during any class of the semester, they should call TTU Video Services at 806-742-4111. TTU Video Services coordinates the resolution of technical problems with end-site technical contact personnel.
